Joint Operations Group (JOG) Meeting of 1/27-1/28/98

1) Billing & Accounts Receivable (BARC): The analysts report that they have reached the "Heart of BARCness" in the design of the new system. Development of the JAVA platform continues. Following is a list of products we are using to develop and manage the system:

2) Transfer Articulation/Degree Audit: We have started to build a web interface to retrieve degree audits from Sybase using the same JAVA infrastructure as the BARC project.

3) We recently rolled out Direct Deposit for users of Accounting’s new Travel Card. Users can specify travel reimbursements to their Surepay accounts or to another account of their choosing.

4) Departmental Chart of Accounts (DCOA): A new system to allow departments to establish links between departmental variables and account/fund/sub combinations in the Chart of Accounts is in testing.

5) CAD/FDX Project: The new Archibus/AutoCAD system is in final testing. Following a successful checkoff by interested parties we will declare the old FDX system obsolete. The new system includes digitized floorplans of three campus buildings. Next decision is whether to expand digitization to all campus buildings. We were very happy with Infotech Enterprises, the vendor who helped us implement the Archibus software. The Computer Center provides support for the system using a dedicated NT server under a facility support contract with Budget ? Planning.

6) UCI/EQS: We imported the UCI Equipment Management System and have it working in our environment. Our Material Management office is currently evaluating the effort necessary to integrate EQS with our existing purchasing and ledger systems. They will then compare to this estimate with the estimate of work required to make the existing system Y2K compliant and select a path for us to follow.

7) Year 2000 work continues with two contractors and a couple of our own staff contributing. We recently completed work on the Tax Reporting System (TARS) and took one more pass through General Ledger to be sure it was ready. So far all systems have come in under the budget we developed using the $1.30 per line of code estimate. We are experiencing some difficulty in motivating departments to choose between fixing and replacing their systems in time to get the work done.

8) Divisional File Server: NT 4.0.3 now seems stable and we have expanded support to additional departments.

9) Tape Conversion: We recently retired all but two 3480 tape drives in favor of 3490E units. We must retain the 3480 drives to support the Parking Citation system. Parking Services sends a 3480 cartridge to DMV which does not have 3490 capability. Next, we will attempt to retire the 3420 round-tape drives.

10) Front-end Processor Conversion: We are in the last stages of retiring our two Comten front-end processors. There are only a few printers on one unit and a few controllers on the other. These will soon be moved to the 9672 Open Systems Adapter.

11) Calendaring: Selection of a campus recommendation for scheduling/calendaring has progressed to the short list. An RFP will be sent to the vendors of three products.

12) Centrex conversion was completed with about the anticipated level of grief. GTE’s Centrex service has been interrupted three times since September: once by a failure of their SONET ring (1.5 hours), once by a switch database error (local calls for one day) and once by a failure of the interface that attaches our Voice Mail system to the GTE switch (five days).

13) We have successfully tested our 800 MHz system and our license has been renewed. Implementation of the new Police dispatch console is in progress.

14) Discussions of reorganizing network infrastructure support continue. Our Campus Networking Committee is developing two proposals, one with an expanded committee and one with a new Office of Information Technology.
